Board of Directors Meeting

These minutes are unofficial until approved by the board at the next meeting.

The meeting was called to order at 9:12 a.m. on October 3rd, 2009

Board Members in Attendance:

  • President: Linda Walton
  • Vice-President: Gigi Aldemir
  • Secretary: Susan Hotujec
  • Treasurer: Jonathan Glassman
  • Board Member: Michael Palmer (was not in attendance)
  • Property Manager: Phil Hylander
  • 2 additional unit owners

New Business:

  • City Furniture/Mai Kai: Florian S. Ellison, Angelo & Banta, P.A.
    • Mr. Ellison, an attorney that represents City Furniture attended the meeting. He explained to the Board about the relocation of a utility easement of parking lots behind Mai Kai and Modern Age. Basically, they are tradinng parking lot segments with each other.
    • This has no effect on the community but the City requires neighboring areas be informed of such things.

Old Business:

  • Pool Renovation:
    • Assessment Approval:
      • Board voted (yes 5 / no 0) in favor of assessment
      • Board member Michael Palmer unable to attend meeting but emailed his approval vote to board
    • Assessment Total:
      • Total assessment per unit = $1,100.00
    • Assessment Payment Breakdown:
      • 6 monthly installments
      • 5 months @ $185
      • 1 month (last month, 6th payment) @ $175
      • Board voted (yes 5 / no 0) in favor of above listed payment schedule and dollar amounts
    • Assessment Payment Schedule:
      • 1st payment due November 15, 2009
      • Payments due every 15th of month
      • Stanard late fees apply
      • The assessment payment must be a separate check from the monthly HOA check as they go in different accounts
    • Pool Hours During Renovation:
      • Pool will be closed during renovation
      • Estimated 2 week project
      • Guest parking on south end of pool will be closed during these two weeks as area needed for vendor equipment
    • Renovation Schedule:
      • All permits have been pulled
      • Sunday, October 4, 2009: Trees will be removed from pool area by "Eastside Lawns & Landscaping"
      • Monday, October 5, 2009: Free standing potted plants will be removed from pool deck
      • Wednesday, October 7, 2009: Fence demolition begins by "Tile by Paola" and "Family Fence"
  • Bees Nest:
    • Visible nests removed
    • Need to knock open wall by garage door to remove bee nests inside, bees coming back and trying to get in again
    • Estimated wall repair cost $300-$400
  • Insurance:
    • Current insurance expires next week
    • Waiting on final quotes and premium notice.
    • Final decsision will be made via email.

Upcoming Meetings:

  • The next meeting will be held toward the end of October and will be a budget workshop.
  • The November board meeting will be for 2010 budget planning.
